Travel Agents: How to book - a Step-by-Step Guide
You can now check availability on all our tours, as well as make real-time bookings in a few easy steps! You will receive immediate confirmation for your client(s), and also be advised of any current promotions or discounts that you can pass on to your customers.
Our online booking process takes minutes, and relieves the hassle of ringing our office for availability, waiting for the invoice to be sent, and having to send in the clients booking form as well. Everything has been streamlined into 6, easy to follow steps.

Step 1: LOG IN
Start off by going to: www.kumuka.com/agents.aspx
and enter your username and password.
- To get these, contact a member of
the Kumuka Team. We will give you your own unique password.
Keep this safe and make sure all consultants have access
to it. (PLEASE NOTE: All passwords are case
sensitive and must be entered in lower case,
as one word).
- Once you are logged in, you will
remain so unless you click sign out.
You can browse the entire Kumuka website whilst logged
in as an agent.
Step 2: CHOOSE THE TOUR YOU WISH TO
BOOK FOR YOUR CLIENT
- Either enter the tour code into the
‘quick search’ box or, alternatively
- Search for the tour via continent
under the ‘Agents links’ heading
Step 3: BOOKING PROCEDURE
- The tour page will open up. Click
on the ‘Show Departure Dates’ tab. Click ‘Book it’ for
the departure date your client wishes to travel on.
You will then be asked for your own details and to accept
the terms and conditions of booking with Kumuka. By
clicking on the link to our booking conditions, you
will find a handy reference for you and your clients
so they are aware of these policies.
- You will then be asked for your own
name and email address. This is so we can match you
to the booking as the consultant and so that the invoice
and travel documents can be emailed directly to you!
- You will also be asked to choose
the payment option.
Step 4: ONLINE BOOKING FORM – PASSENGER
DETAILS
- You will now be given the full details
of the tour, including any applicable discounts that
you can pass on to your client!
- If a discount option is available,
simply click on the option to Select
this option.
- Next, complete your client’s details!
You can select up to 4 passengers and you will need
to give us the details for each one.
- Please remember to include any medical
or dietary requirements they may have.
- If you do not have your client’s
full passport details, this is not a required field.
However, so that we can add your clients to our passenger
lists, we require this information as soon as possible
after booking.
- If there are no applicable discounts
available to pass on to your clients, you can either
select the ‘Full’ or ‘Deposit’
payment option at the bottom. This will let
us know what your payment plan will be for this client.
- Press next to continue and confirm
your booking.
Step 5: CONFIRM BOOKING
- You will then be presented with a
screen displaying exactly what you are booking.
- This gives you the chance to ensure
what you are booking is what you and your client require,
and to make any changes if necessary. It also gives
you the option to cancel the booking all together.
Step 6: CONFIRMATION
PAGE
- You will then receive confirmation
of your clients booking and your booking reference.
- A confirmation email will then be
sent to the email address you included on the booking,
and you will then be able to view your agent invoice.
It’s
as easy as that! You now have instant confirmation to
pass on to your clients, and they are set to go!
If you wish to view your client’s invoice
at any time after making the booking, simply log on as
an agent, and click on the ‘Bookings’ tab. Simply
enter the client’s booking number.
